Create Your Outlook Express Address BookPublished: August 26, 2003
The Address Book is designed as a separate program—though tightly integrated
with Outlook Express—so it can be shared by other programs. It can store all
the personal details you could want (and then some)—from name, address, and up
to nine phone numbers (for the truly connected) to birthdays, nicknames, even
a generous space for notes. And because it's electronic, you can say goodbye
forever to marked-up, dog-eared address books because changes are made without

Outlook Express automatically adds to the Address Book the name of the person
you reply to when you reply to an e-mail message—and of everyone else who
received that message, if you clicked Reply All. That's how easy—and less
prone to error—it is to build your address book! For most users, this is useful. Junk senders don't land in your address book, because you don't reply to their spam, but people you find worth responding to are added. 1
But there will be times when you want to add someone's name yourself—say an
e-mail address from a business card or when you want to write someone you've
never emailed before. Here's the easiest way: 1. | To open the Address Book, click the Addresses button.

| 3. | Type the person's name as shown below. Typically, this is the name the recipient of e-mail messages will also see. | 4. | Type the e-mail address with no spaces as shown below. Capitalization does not matter.

Click each of the other tabs to add any information you want to keep on
hand—such as home address, office phone number, or birthday—and then click OK. (See step 5 shown above.) | 6. |

Make Changes to Your Address BookWe live in a culture of constant flux. People switch jobs and names, are assigned new area codes, buy cell phones, or swap e-mail addresses with mind-blowing frequency. Outlook Express makes it easy to keep pace with these address-book changes. 1. | To open the Address Book, click the Addresses button. | 2. | In the Address Book, double-click the name of the person whose information you want to change.

Click a tab to make changes as needed—for example, click the Home tab to update a home address or phone number.

Create One Name for a Group of People
If there's a group of people you e-mail frequently—say, the parents in your
child's class or your book club—you can gather all their names together under
one entry (and name)—Parents or Book Club, for example. Then to send e-mail to
everyone in the group, you simply type the group name in the To box when you
write a message, and Outlook Express automatically sends the message to every
single person on the list. 1. | In the Address Book, click the New button, and then click New Group.

To add a person to the group without adding the name to your address book, type the name and e-mail address as shown below, and then click the Add button.

| 5. | Click the Select button as shown above to add the name to the Members list. Repeat steps 4 and 5 until you've added every name you want. | 6. | When you've finished, click OK twice, and then close the Address Book.
To remove someone's name from a group, open the Address Book, and find the group listing. Right-click the group name, and click Properties on the list. Click the name of the person you want to remove, and click the Remove button. Then click OK, and close the Address Book. |
Remove a Name or Group from Your Address BookFollow these steps to clear your address book of the clutter of duplicate names or entries you no longer recognize. 1. |
In the Address Book, click the name—whether an individual or a group—that
you want to remove from your address book as shown below. | 2. | Click the Delete button as shown below, and then click Yes when Outlook Express asks for confirmation. The Address Book also removes the name from any groups it's in.
